Reservation Process

Registered student groups and University departments must submit the Outdoor Space Application a minimum of ten business days in advance of event, twenty business days if security or traffic management may be required or the event involves an outdoor display. Large outdoor events, including concerts, will require additional planning time, please submit application up to twelve weeks in advance. If hosting a 5K, the Outdoor Space 5K Application must be submitted a minimum of twenty business days in advance of the event.

How to reserve a space for your event:

Registered Student Groups

  1. The application is submitted online and goes through a review by Student Unions & Activities and appropriate University of Minnesota departments.
  2. Any questions or concerns will be addressed with the applicant by Student Unions & Activities.
  3. If your application is submitted prior to 60 days before your event, your application will go through a preliminary review upon initial receipt of your application and a final review 60 days before the event.
  4. After review and approval, a permit is issued by Student Unions & Activities.

A copy of the permit must be displayed at all events.

University Departments

  1. The application is submitted online to Student Unions & Activities for review.
  2. Student Unions & Activities sends the application to the Office of Facilities Management Land Care and appropriate University of Minnesota departments for review.
  3. Any questions or concerns will be addressed with the applicant by Office of Facilities Management Land Care.
  4. If your application is submitted prior to 60 days before your event, your application will go through a preliminary review upon initial receipt of your application and a final review 60 days before the event.
  5. After review and approval, a permit is issued by Office of Facilities Management Land Care.

A copy of the permit must be displayed at all events.

Non-University Groups

  1. Non-University groups may make outdoor reservations for the Coffman Front Plaza or the Riverbend Plaza only if in conjunction with an indoor reservation/event at Coffman.
  2. Contact odspace@umn.edu or 612.626.6919 to request access to the online application system.
  3. The application is submitted online to Student Unions & Activities. Requests by non-University groups for other outdoor spaces will be referred to the University’s Real Estate Office.
  4. A use agreement, issued by the Real Estate Office, and insurance is required for non-University groups making outdoor reservations.
  5. Non-University groups will pay a $600 non-refundable rental charge to the Real Estate Office, plus all direct costs to the appropriate service provider. The rental charge does not include insurance fees (insurance prices vary).
  6. After review and approval, an approved permit is issued by the Real Estate Office.
