Outdoor Space Office
The University of Minnesota Outdoor Space process helps student organizations and University departments reserve outdoor space on campus. We serve as an information resource center and an initial point of contact between event planners and the departments at the University of Minnesota responsible for approving the use of outdoor space.
Event information is submitted via the online reservation system (VEMS) and the resulting application is reviewed by Outdoor Space to ensure that all required event information has been included. Once all of the necessary information is provided, a TENTATIVE reservation is booked for the event. The application is then sent to several University partner departments (Parking and Transportation, LandCare, Department of Health and Safety, University Police, and others) for review and approval. If additional information is needed to approve your outdoor space permit, you will be contacted by someone from the relevant department. Please keep in mind that the more complete information you initially provide regarding your event, the faster it will be to review and approve your space permit. The approval process takes a minimum of two weeks once your application is complete.
Once the application has been approved, the status of your reservation will be changed to CONFIRMED and you will be emailed a signed outdoor space permit. Bring a copy of the signed permit to your event.
Equipment rental (tables, chairs, stages, etc) is your responsibility. You must provide your own equipment or rent from an external company.
Rain Backup / Indoor locations are not included in the Outdoor Space process. Request indoor space in case of inclement weather through Student Unions and Activities Event Services or the Office of Classroom Management.
